DUTIES
Job purpose:
This role is responsible for booking clients, answering phones and managing new enquiries, managing clinician’s calendars, calling and scheduling new clients, and processing payments. This position is the face of the business and as such has high expectations for performance.
Services Role
Provides administrative support to ensure efficient operation of office.
•Answers phone calls, schedule meetings and supports clients/visitors.
• Organise and schedule appointments.
• Daily processing of invoices.
• Carries out administrative duties such as filing, typing, copying, binding, scanning • Exhibits polite and professional communication via phone, e-mail, face to face and mail.
• Supports the team by performing tasks related to organisational skills and strong communication.
• Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques as directed by Management.
- Essential Criteria
Excellent communication and interpersonal skills to effectively engage with colleagues, clients and key stakeholders.
Previous experience in administration.
Ability to manage client complaints in a professional manager.
Strong time management skills and an ability to multi-task.
Show knowledge and experience of appropriate software: Halaxy Classic, MS Word, -Excel, -Outlook, -Publisher & -PowerPoint. Adobe professional.
Highly developed interpersonal and communication skills, both verbal and written.
Ability to work with diverse groups such as young people, women, people with intellectual disability, Aboriginal People, Torres Strait Islanders, and people from various socio-economic backgrounds.
Current Drivers licence and own vehicle.
NT Working with Children Check (OCHRE Card), National Police Clearance within the last 3 months and an NDIS worker screener Check
Current First Aid Certificate (HLTAID001 CPR & HLTAID003 Provide First Aid) Vaccinations include:
- Covid vaccination
- Hep B
- Hep A
- Measles, Mumps and Rubella (booster shot for adults)
- Chickenpox
- Whooping cough (Booster)
- Annual Flu Vaccine
- Tuberculous (cleared with Blood test only)
- Meningoccocal ACWY
- Meningoccocal B - Desirable:
Certificate III in Business Administration.
Previous experience and knowledge with NDIS funding, and allied health roles is highly desirable.
